The International Institute of Tropical Agriculture (IITA), on behalf of the African Agricultural Leadership Institute (AALI), is currently seeking qualified candidates for the internationally recruited position of Project Development and Administration Advisor.

The Project Development and Administration Advisor will play a pivotal role in providing project administration and advocacy communication support to programs, facilitating the achievement of Africa’s agricultural transformation agenda, particularly among political leaders and the region’s women and youth beneficiaries. The successful candidate will be responsible for ensuring the seamless implementation of projects, managing development-related tasks, overseeing partnership coordination, conducting regular monitoring, and facilitating program reporting. They will also ensure project compliance with AALI’s operational policies and systems while collaborating with AALI’s Experts, Finance, HR, Communications, and Regional Teams.

Key Responsibilities: Project Development & Administration:

  1. Supervise program operations to ensure operational efficiency and compliance with donor rules and regulations during project start-up, implementation, and closeout.
  2. Provide technical support for project management, grants management, budget development, and work planning, including day-to-day operations for programs such as Feed Africa and the African Fertilizer and Soil Health Summit.
  3. Oversee operational processes for grants in collaboration with the Managing Director, ensuring adherence to AALI policies and procedures. Manage Grant Agreements, Sub-grant Agreements, Memoranda of Understanding (MoUs), Memoranda of Agreement (MoA), Hosting and Country Agreements, as well as No-cost Extensions.
  4. Participate in the preparation of inception, progress, summary, and narrative reports, financial statements, and ensure timely submission to donors.
  5. Manage and coordinate the preparation of funding proposals, including contributing to proposal sections and budget development for a wide range of donors.
  6. Collaborate with the MDU, regional and country teams to anticipate and mitigate programmatic and organizational risks related to program development, new project design, implementation, and closure.

Technical Support to Strategic Initiatives:

  1. Assist the President of AALI in developing and implementing regional advocacy strategies, ensuring that country priorities related to soil health initiatives are integrated into relevant documents and plans.
  2. Contribute to the review and analysis of policy issues in the context of the agricultural transformation agenda, facilitating informed decision-making by regional country members. Coordinate and consolidate necessary inputs (methodologies, recommendations, lessons learned, and impact) for donor reporting on projects.
  3. Support the establishment and management of strategic partnerships and collaborations crucial for the successful delivery of AALI projects.
  4. Organize and provide substantial support for regional workshops, conferences, and country team meetings, including agenda development, participant identification, presentation preparation, and meeting documentation.
  5. Perform other tasks as assigned by the President of AALI.

Requirements: Educational qualifications:

  • Master’s degree in business administration or a related discipline, along with a certificate in project management.

Specific experience required:

  • A minimum of five years of work experience in a relevant project management role within an international organization or research environment.
  • Demonstrated experience in leading and coordinating multiple programs and projects concurrently.
  • Proficiency in budget management.
  • Exceptional interpersonal skills and the ability to maintain effective working relationships and collaborate within a team.
  • Strong administrative skills and advanced proficiency in MS applications, with a willingness to learn additional software and systems as needed.
  • Exceptional organizational and time management skills, including the ability to prioritize and multitask.
  • Excellent verbal, written, and presentation skills.
  • Ability to write clear and concise reports.
  • Capacity to work effectively in multi-cultural environments and demonstrate problem-solving, resilience, and initiative when faced with challenges.
