Job Description:
Fairtrade Administrator
Reporting to the Fairtrade Premium Committee (FPC) and the Fairtrade Officer, our client, a Fairtrade-certified flower farm in Naivasha, is seeking a qualified individual to fill the position of a Fairtrade Administrator. The role involves overseeing administrative and financial responsibilities for the Fairtrade premium committee under the guidance of the Fairtrade Officer.
Key Responsibilities:
- Assist in the administrative management of all Fairtrade Premium Committee functions.
- Maintain the general ledger for all Fairtrade premium transactions in a timely manner.
- Prepare financial statements for the Fairtrade committee and coordinate with external auditors.
- Perform monthly bank reconciliations for all accounts.
- Prepare bank payment vouchers for approval by authorized signatories.
- Execute functions as outlined in the terms of reference for Fairtrade.
- Manage Fairtrade premium projects, ensuring proper documentation, accounting, and maintenance of contracts and related documents.
- Ensure documentation of Fairtrade transactions, training, and supported projects meet required standards.
- Compile beneficiary application requisitions for various projects.
- Record minutes of Fairtrade premium committee/subcommittee meetings.
- Handle day-to-day operational and employee issues.
- Update all Fairtrade notice boards.
- Conduct project monitoring and evaluation in collaboration with the FPC committee.
- Assist the Fairtrade committee during Fairtrade audits by providing necessary documentation.
- Perform any other duties as required by superiors related to Fairtrade.
Desired Qualifications/Competences:
- Minimum of CPA-2 is required.
- Diploma or Certificate in Business Administration.
- Experience in a similar position is an added advantage.
- Valid certificate of good conduct.
- Ability to work under pressure with minimal supervision.
- Integrity, honesty, flexibility, and good interpersonal skills.
- Team player and self-disciplined.
- Effective communication skills, both spoken and written.
